The IPS Student Representative Council (SRC) met with
Professor Ir. Dr. Nor Ashidi bin Mat Isa,
Chief Digital Officer (CDO) & Director,
along with officers from the Digital Transformation Center (PTD), USM.

📍 Bilik Mesyuarat Orkid, Digital Transformation Center (PTD)

✨ Key Matters Discussed:

1️⃣ Digital Security & Awareness
• Importance of safeguarding personal accounts and login credentials
• Use of Multi-Factor Authentication (MFA), especially for compromised accounts
• Proposed initiatives: Digital Week & phishing simulations to raise awareness

2️⃣ Software & Storage Updates
• Office Suite 2019 available for students within the USM network
• Activation via softwareserver.usm.my (VPN supported if required)
• OneDrive storage:
– 200TB per student/staff
– Additional 100TB top-up by USM
• Use official USM email accounts (avoid Gmail forwarding)
• Regular email housekeeping encouraged
• Accounts will be cleared one year after graduation

3️⃣ Connectivity & Access
• Students encouraged to report slow internet areas
• WiFi upgrades expected by mid-next year
• Adobe licences currently for staff & computer labs
• Student access under review
• Minor issues: report via ServiceDesk
• Major issues: escalate to relevant offices

📌 IPS SRC Courtesy Visit

The IPS Student Representative Council (SRC) paid a courtesy visit to the Institute of Postgraduate Studies (IPS), USM, and met with:
• Assoc. Prof. Dr. Tay Guan Seng – Deputy Dean
• Mr. Ihsanul Anwar bin Shamsur Rahim – Deputy Registrar (Administrative)

📍 Munshi Abdullah Meeting Room, IPS

✨ Key Matters Discussed:

1️⃣ Tuition Fees
• MOHE has implemented fee adjustments across all public universities
• Fees remain subsidised
• Aimed at ensuring long-term sustainability and smooth university operations

2️⃣ Accommodation
• Priority given to undergraduate students
• 10% increase in postgraduate enrolment
• High demand for family housing
• Follow-up with HAC is required

3️⃣ Financial Aid
• Available schemes:
– USM Care
– GRA-ASSIST
– Postgraduate Conference Fund (research mode only)
• Funding may be partial or full (subject to approval)
• Graduate Assistantship & Fellowship currently unavailable due to budget constraints

4️⃣ International vs Local Students
• Fair and transparent application process
• Internationalisation initiatives do not affect local student opportunities

5️⃣ Official Postgraduate Platforms
• Formal IPS channels: Telegram, Facebook & WeChat
• SRC may use WhatsApp for informal updates

6️⃣ Software & Storage Support
• Software (e.g. SPSS) managed by MOHE/PTD
• Proposal raised for 10–15GB storage allocation to support postgraduate needs

| WORKSHOP ON THE DEVELOPMENT OF TERMS OF REFERENCE AND FINANCIAL AUTONOMY BY STUDENT REPRESENTATIVE COUNCIL |

Good Day to All USM Citizens💜

On 13th August 2024, the Workshop on the Development of the Terms of Reference and Financial Autonomy by Student Representative Council was held, involving various responsible centers, the University Legal Office, the Division of Student Affairs & Alumni Development USM (BHEPA), the USM Treasury Department, and the USM Student Representative Council from all USM campuses. Also present was Professor Dr. Shaharum Bin Shamsuddin, Deputy Vice-Chancellor of BHEPA.

The purpose of this workshop was to produce and finalize the Financial Management Regulations by the Student Representative Council or Student Union and Student Bodies, in support of amendments to AUKU 1971, granting greater autonomy to students. We, as the SRC, ensure autonomy for students in financial management, but at the same time, with advice and guidance from various departments to ensure USM students comply with university laws and to prevent any misuse of power by USM students.

The purpose of the meeting is to discuss (1) Programs and Focus Area of MIYC, (2) Possible Guidance and Help in terms of expertise and financial finding for programs by EICC and (3) Introduction & Expectations of EICC USM on MIYC.

Good Day to All USM Citizens💜

On 27-28 June 2024, Sanglisha Kunasekaran & Bol Ram from Student Representative Council of Institute of Postgraduate Studies for Academic Session 23/24 facilitated Muhibbah Youth Camp took place at the Engineering Campus of Universiti Sains Malaysia (USM), Nibong Tebal, Pulau Pinang. A total of 110 students from 11 secondary schools participated in the program, assisted by 20 USM students as facilitators and committee members.

This program was an initiative by MBM to enhance the spirit of unity and to raise awareness among the youth about the importance of harmony in a multicultural and multi-religious society.
