NEW FEATURE: Repeating Instruments and Events

REDCap has the ability to repeat a data collection instrument or an entire event of instruments an unlimited number of times without having to specify the amount needed. This is sometimes called one-to-many data collection, in which a project can have one or more repeating parts. The repeating instruments/events feature can be enabled and set up by clicking the Enable button in the Optional Modules section on the Project Setup page.

Enabling Surveys for Repeating Instruments: If one wishes to allow survey respondents to enter their responses in a repeating fashion in survey mode alone, one must enable an optional setting near the bottom of the Survey Settings page (in the survey termination options section) *after* an instrument has been set as a repeating instrument. So it is one additional step to do after enabling the instrument itself as a repeating instrument. When the repeat survey setting is enabled, it will display a button at the end of the survey so that the respondent can choose to enter another response for the survey, thus essentially allowing them to take the survey multiple times in a row. In this way, they will be able to enter as many responses for that same survey as they need.

Reports and Data Exports with Repeating Instruments and Events: If one creates a report that contains data from a repeating instrument or repeating event, a field named 'redcap_repeat_instance' will be included that represents the instance number, which is an auto-numbered value (starting with '1') that gets incremented each time the instrument/event is repeated. And if the report contains data specifically from a repeating instrument (as opposed to a repeating event), then a field named 'redcap_repeat_instrument' will additionally be included that represents the instrument name that denotes to which instrument the row of data belongs. These two fields will only be included automatically in the report or data export if data originates from a repeating instrument or event. Note: Each repeated instance of an instrument or event will be displayed as a new row in the report or export file.

While repeating instruments/events are fully supported when using Double Data Entry with regard to data entry workflow, please see the following notice for the Data Comparison Tool: “The Data Comparison Tool does not *fully* support the Repeating Instruments and Events feature, which appears to be enabled in this project. Data can be compared (and even merged if using Double Data Entry), but it will only allow comparison and merging of Instance #1 of a repeating instrument or repeating event. Thus all other repeating data will be ignored on this page. Also, all non-repeating data can still be compared and merged.”

Data Access Groups

Access to certain project records may be limited by using Data Access Groups, in which only users within a given Data Access Group can access records created by users within that group. This may be useful in the case of a multi-site or multi-group project that requires that groups not be able to access another group's data.

REDCap Tip of the Month: Adding Email Addresses

Most REDCap users do not like to send large numbers of survey invitations linked to their own email address due to the amount of out of office messages and other automated responses that then fill their inbox.

Using a general study or departmental email address is therefore preferable. However, many users are not aware an option exists to add more emails to their account.

REDCap allows up to two additional email addresses to be linked to your account. Once added, you can then select one of the new email addresses as the “sender” email for your invitation.
Adding an additional Email Address

- Go to the “My projects” page.
- Select “My profile” link on the top right of the screen.
- Click the “Add Email” button for either the secondary or tertiary email.
- Follow the instructions in the pop-up window and click the “Add Email” button.
- Go to the inbox of the email address you just added and verify the address by clicking on the link.

Note: If you do not have access to the inbox of that particular email address, you can contact your local REDCap Administrator to verify the email for you.

Once verified, you should be able to select the new address for functions in REDCap such as the “sender” email in survey invitations or to receive survey notifications.

REDCap Codebook

The Codebook is a read-only version of the much larger Data Dictionary for the project. This read-only document thus allows users to quickly view and follow the variable name, field label, branching logic, and field attributes for each and every variable in your project.

The Codebook can be found in the “Project Home” section of each REDCap project.

You can print out the codebook directly or export it as a PDF via the “Print Page” button. Note that the codebook does not contain any personal health information, even if your project is set up to capture that kind of data.

REDCap Mobile Services Report

Summary
For a couple days this week, the login feature on iOS devices was not working. Obviously, this is a huge problem. It is now resolved with the latest release – 2.1.1. The Android version was unaffected.
On the app’s forms, font sizes are now adjustable.
We’ve begun long-term work on a couple huge advances, so be on the look out for some big features in the nearer term.

Bug Fixes
We have had some problems on the Android version with file upload. We submitted a fix for that this past week. Please alert us if you have a problem. The error code is 203. iOS is unaffected.
Some people had complained that their iOS app would not rotate when they rotated their iOS device. That should be fixed in 2.1.1.

Features
There is a button at the top of each form that allows the user to increase/decrease font size by 4 points. There is no upper limit to increasing the font size, but the form will not look good obviously if fonts are too large. Font sizes are saved for each app user to go to the next form or the next project. These font-size buttons persist even when forms are secured.
Watch out for a couple of larger features in the next couple of months. We are very excited.

Tip of the Week
You can download a partial group of records if you do not want to download all of them. You can do so by tapping a button, after the project configuration is downloaded, entitled “Get a Partial Set of Data.” This will allow you to check off the records you want.
