ORSP provides information, services, and support to members of the UALR community to enable them to compete successfully for outside funding to conduct scientific research; create works of art; compose music; write books and articles; improve their performance in the classroom; and better serve their students, professions, and the public. ORSP ensures accountability, compliance, and stewardship fo

r sponsored programs as directed by all applicable federal, state, local, and institutional policies, procedures, and regulations. In support of its mission, ORSP helps the campus community locate external funding sources; assists in budget development; performs proposal and contract review and submission; reviews, negotiates, and accepts awards; maintains oversight and support for awarded projects; and provides education, outreach, and professional development to UALR faculty and staff to advance research, instruction, and other sponsored activities at UALR.

ORSP Tip of the Week: Grants and Awards in Workday

What are Grants and Awards in Workday?

When a project is funded by a sponsor, two key sections are created in Workday to keep all information organized: Award and Grant.

An Award is the shell for the project in Workday that holds general information about the funding, such as the sponsor, project title, and key dates.

A Grant is the budget that is attached to the Award. The finances live in this section, where researchers and staff can manage spending and track expenses.

Did you know ORSP has a Grants Advance Team that can help you iron out specific aspects of your submission as you develop your proposal? The Grants Advance Team is your first line for any preliminary questions, procurement-related issues, or hiring issues on your grant.


Kate Lincourt (Research and Sponsored Programs Partner), can assist you with any proposal development-related questions, such as budget development, etc.


Alex Fountain (Grants HR Business Partner), can assist you with any HR tasks related to your grant.


Jennifer Haygood (Procurement Partner), can assist you with any procurement-related questions on your grant.


The Advance Team holds office hours (Zoom Link) for all faculty and staff who need assistance with their grants on Tuesdays from 1-3pm. ORSP Tip of the Week: Charging Prepaid Expenses on Your Grant

As the Principal Investigator, you must ensure that any expenses or services allocated to your grant funds are utilized within the Period of Performance outlined in the award document from the sponsor. You cannot utilize prepaid expenses that fall outside of the Period of Performance. These restrictions are outlined in the OMB Uniform Guidance (2 CFR 200).

Examples:

•Travel must occur within the Period of Performance. Without express written permission from the sponsor, grant funds cannot be used to prepay travel occurring after the award expiration date

•Annual software subscriptions or other contracts that extend beyond the award’s Period of Performance must be prorated. This ensures that only the portion of expense that falls within the remaining timeframe of the Period of Performance is allocated to the grant worktag.

•Consumable materials/supplies must be purchased, received, and used within the Period of Performance. You cannot use remaining funds at or near expiration to stock up on consumable materials/supplies or future services.
